This Privacy Notice describes how Women Corporate Directors Education and Development Foundation, Inc. (“WCD”, “we”, “us”, “our”) collects, uses, and shares your personal information, your choices in connection with this, and your rights as a data subject. This Privacy Notice applies to the WCD website https://wcdglobal.org/, and its member portal, the services offered thereon, and any other platforms or services where WCD collects personal data (collectively, the “Services”).

Information We Collect

Through your use of our Website and member portal, we collect personal information, which is information that identifies you as an individual or relates to you as an identifiable individual. We collect personal information directly from you and automatically as you use our Website.

A. Information You Provide To Us

If you engage with certain features of our Website, we will collect personal information from you. Specifically, we collect personal information from you when you:

Apply for membership and/or renew your membership and/or update your WCD profile. If you apply for membership with WCD, renew your WCD membership or update your WCD profile, we will collect and store your name, email addresses, telephone numbers, physical addresses, personal demographics, educational history, and employment/professional history. We use this personal and professional information to manage and assess your membership and deliver membership benefits to you. We also may use your information to send you mail, email, or other communications containing publications made available to the members of WCD, including without limitation regular newsletters, updates on events and activities, and administrative communications such as membership renewal reminders. You may opt out of such communications at any time by unsubscribing to WCD’s email communications at privacy@wcdglobal.org or, with respect to other forms of communication, by contacting us via our website. This information may be available to other users with a WCD account. We may use this information in our marketing materials. The legal basis for this processing is performance of our contract with you. 

Information Sharing. You agree if you are a member, that WCD is permitted to share your profile information with other members of WCD. This profile information is available to members and chapters of WCD, everywhere in the world, where WCD operates. 

Media. Additionally, as described in the Terms of Use, if you are a member of WCD, you may choose to grant WCD and its affiliates permission to reproduce your name, likeness, identity, voice, photographic image, videographic image, oral or recorded statements, and the information included in your Membership Application or Profile in any publication of WCD intended for promotional or other related use, including but not limited to, film broadcast, printed publications, webpages, and web-based publications associated with WCD. This use is subject to your explicit consent, which can be withdrawn at any time. You may opt out of this permission by emailing us at privacy@wcdglobal.org.

If you submit your phone number in connection with your membership application and you opt in to receiving text messages from WCD, we will use your phone number to send you administrative and promotional text messages. Standard text messaging and data rates may apply.

Apply to be a sponsor. If you are interested in becoming a sponsor for WCD events, we will collect your name, title, company, email address, and telephone number. We use this personal information to process and manage your sponsorship inquiry. The legal basis for this processing is performance of our contract with you.

Register, attend and/or speak at WCD Events. WCD events may be audio and video recorded and live streamed for replay at a later date. By registering, attending, and/or speaking at WCD events, you grant WCD and its affiliates permission to reproduce your name, likeness, identity, voice, photographic image, videographic image, and oral or recorded statements in any publication of WCD intended for promotional or other related use, including but not limited to, film broadcast, printed publications, webpages, and web-based publications associated with WCD. The legal basis for this processing is our business interest in providing WCD events in an efficient and effective manner. If you do not consent to your image or voice being recorded or published, please ensure to turn off your video camera. You will still be able to ask questions while off camera by chat or email to membership@wcdglobal.org

By registering, attending, and/or speaking at WCD events, we will collect your name, email address, company, title, telephone number,  photograph and other personal and professional information, and on some occasions, payment card information, including payment card number, CVV, and expiration date. The payment card information is collected by our third- party payment processor. WCD uses this personal information to manage the event and for WCD marketing and advertising purposes. The legal basis for this processing is your consent which can be revoked at any time by contacting membership@wcdglobal.org. In that case, all processing operations that were based on your consent and took place before the withdrawal of consent remain valid.

Contact us. When you contact WCD, send us a question or inquiry, or ask for other support, we will collect your name, telephone number, and email address. We use this personal information to fulfill your request for additional information and to provide any support that you may need, including technical support or answering your questions or inquiries. The legal basis for this processing is the performance of our contract with you.

Donate. To make a donation, we will collect your name, billing address, telephone number, email address, and payment card information, including payment card number, CVV, and expiration date. We use this personal information to process your donation payment. The legal basis for this processing is performance of our contract with you.

In our processing of your personal information, we may also use the personal information identified in this section to defend our rights and the rights of others, to efficiently maintain our business, to comply with the law as, and for other limited circumstances as described in How We Share Your Information. This is part of our performance of our contractual obligations, protection of legal rights, compliance with legal obligations, and protection of the rights of users of the Website and other individuals.

B. Information Collected Automatically

In addition to the personal information you provide directly to WCD, WCD may also collect information from you automatically as you visit our Website. This information includes:

Usage information. This includes information regarding your interaction with our Website, such as which pages you visit, the frequency of access, how much time you spend on each page, what you click on while you are on a page, and referring website addresses.

Device information. This includes certain information about the device that you are using, such as browser type, browser language, hardware model, operating system, and your preferences.

Essential. WCD uses essential cookies to authenticate users, prevent fraudulent use of our website, and to allow the website and its feature to function properly.

Analytics. WCD uses Google Analytics to collect information on your use of our Website to improve our Website. Google Analytics may also receive information about you from applications you have downloaded that partner with Google. WCD does not combine the information collected through the use of Google Analytics with personally identifiable information. How We Share Your Information

We share your personal information with our service providers and other third parties as described below:

With service providers. We share personal information with third-party service providers that perform functions on our behalf and help us to administer the Website. The legal basis for this is our legitimate interest in providing the Website and the service offered thereon efficiently. These service providers, the types of personal data shared with each, and the purposes for which the data is used by each provider are as follows: 

  • Salesforce: name, phone number, address, work history, location for member profiles
  • Affinipay LLC: payment information, for your membership invoice or paid events
  • Authorize.net: payment information, for your membership invoice or paid events
  • PayPal: payment information, for your membership invoice or paid events

Within WCD. We may share personal information within the WCD corporate family, such as with subsidiaries, joint ventures, or affiliates, in order to efficiently carry out our business and to the extent permitted by law. The legal basis for this is our legitimate interest in carrying out our business operations efficiently.

With event attendees. We may share an audio and video recording of WCD’s events and an attendee list with other attendees. The legal basis for this sharing is our legitimate interest in providing the events effectively and efficiently to all attendees. If you do not wish for your image or voice to be recorded or published, you can turn off your video camera. You will still be able to ask questions while off camera by chat or email to membership@wcdglobal.org. To opt-out of the attendee list, please contact membership@wcdglobal.org.

With the press. The press may be present at some WCD events, including the Global Institute and all sessions. If you do not wish for your image or voice to be recorded or published, you can turn off your video camera. You will still be able to ask questions while off camera by chat or email to membership@wcdglobal.org.

In the event of a corporate reorganization. In the event that we enter into, or intend to enter into, a transaction that alters the structure of our business, such as a reorganization, merger, acquisition, sale, joint venture, assignment, consolidation, transfer, change of control, or other disposition of all or any portion of our business, assets or stock, we would share personal information with third parties, including the buyer or target (and their agents and advisors) to facilitate and complete the transaction. We would share personal information with third parties if we undergo bankruptcy or liquidation, in the course of such proceedings. The legal basis for this is our legitimate interest in carrying out our business operations. Any third party to whom the personal information is transferred will be obliged to use the personal information in a manner consistent with this Privacy Notice.

To prevent harm. We will share personal information if we believe it is necessary to detect, investigate, prevent, or take action against serious illegal activities, such as fraud, cybercrime, or situations involving potential threats to the rights, property, or personal safety of any person. The legal basis for this is compliance with the law, compliance with legal obligations, and our legitimate interest in the protection of the rights of others.

For legal purpose. We will share personal information where we are legally required to do so, such as in response to court orders, law enforcement or legal processes; to establish, protect, or exercise our legal rights or contractual obligations; to defend against legal claims or demands; or to comply with the requirements of any applicable law. However, the sharing of personal information will be limited to what is necessary to fulfill these legal obligations. The legal basis for this processing is compliance with a legal obligation applicable to us and our legitimate interest in compliance with other laws applicable to WCD.

With your consent. Apart from the reasons identified above, we may request your permission to share your personal information for a specific purpose. We will notify you and request consent before you provide the personal information or before the personal information you have already provided is shared for such purpose. You may revoke your consent at any time. However, revoking your consent will not affect the legality of any processing we conducted prior to your revocation.

Cookies. All session cookies we use are temporary and expire after you close your web browser. Web Beacons. WCD may utilize web beacons, also known as pixel tags or clear GIFs, on our Website. Web beacons are tiny graphic images with a unique identifier, similar in function to cookies, and are used to track the online movements of web users or to access cookies. Unlike cookies, which are stored on the user’s device, web beacons are typically embedded invisibly on web pages or in an email. We use web beacons for a variety of purposes, including to analyze the use of our Website, monitor our Website's performance, and to understand how visitors navigate through and interact with the content of our Website. How Long We Keep Your Personal Information

WCD retains audio and video recordings of WCD events. We retain all other personal information for a period of seven years or until the earlier of (i) the personal information is no longer necessary to accomplish the purpose for which it was provided; or (ii) we delete your personal information pursuant to your request. We may retain your personal information for longer periods for specific purposes to the extent we are obliged to do so in accordance with applicable laws and regulations and/or as necessary to protect our legal rights or for certain business requirements.

Cross Border Transfer

WCD is headquartered in the United States. As such, WCD will process and store your personal information on servers or databases, and use third-party providers that process personal information in the United States. Please note that the laws in the United States may not be as protective as those in your location. For example, government entities in the United States may have certain rights to access your personal information. WCD will take all necessary measures to ensure that the personal information is adequately protected during such transfers in accordance with applicable laws.

California Residents

This section applies to California residents and supplements the information contained in our Privacy Notice with additional disclosures required by the California Consumer Privacy Act ("CCPA") and the California Privacy Rights Act ("CPRA"). If you are a resident of California, the following rights apply regarding your personal information.

Rights Under CCPA and CPRA

Right to Know: You have the right to request that we disclose certain information to you about our collection and use of your personal information over the past 12 months. Right to Delete: You have the right to request that we delete any of your personal information that we collected from you and retained, subject to certain exceptions. Once we receive and confirm your verifiable consumer request, we will delete (and direct our service providers to delete) your personal information from our records, unless an exception applies.

Right to Correct: You have the right to request that we correct inaccurate personal information about you held by us. Upon receipt of a verifiable request from you, we will use commercially reasonable efforts to correct the inaccurate personal information.

Right to Opt-Out of Sale or Sharing: You have the right to opt-out of the sale or sharing of your personal information. 

Right to Limit Use and Disclosure of Sensitive Personal Information: You have the right to request that we limit the use of your sensitive personal information to only certain purposes, including fulfilling the services or providing the goods requested by the consumer.

Right to Non-Discrimination: We will not discriminate against you for exercising any of your CCPA or CRPA rights. Unless permitted by the CCPA or CRPA, we will not deny you goods or services, charge you different prices or rates for goods or services, provide you a different level or quality of goods or services, or suggest that you may receive a different price or rate for goods or services or a different level or quality of goods or services.

Only you, or someone legally authorized to act on your behalf, may make a verifiable consumer request related to your personal information. You may only make a verifiable consumer request for access or data portability twice within a 12-month period.

We will respond to a verifiable consumer request within forty-five (45) days of its receipt. If we require more time (up to 90 days), we will inform you of the reason and extension period in writing.

Do Not Track

We do not currently support Do Not Track (DNT) as our Website does not yet support this technology. Do Not Track is a preference you can set in your web browser to inform websites that you do not want to be tracked. You can enable or disable Do Not Track by visiting the Preferences or Settings page of your web browser.

Data Analytics and Third-Party Data Sharing

WCD utilizes various third-party data analytics tools, including Google Analytics, to understand and enhance user experience, improve service delivery, and optimize our digital presence. The use of these tools involves sharing certain information, such as device identifiers, cookies, and other tracking technologies, with service providers.

It is important to note that under certain legislative frameworks, such as the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA), the sharing of personal information through these tools may be classified as a "sale" of personal data. For purposes of this agreement, a "sale" refers to providing or making available a consumer's personal information to a third party, in exchange for monetary or other valuable consideration.

WCD commits to complying with all applicable privacy laws and regulations in jurisdictions where it operates. Should any transaction involving data analytics tools be deemed a "sale" of personal data under applicable law, WCD will take appropriate measures to ensure transparency and grant members the ability to opt-out of such sales, in accordance with legal requirements.

This clause is subject to change based on evolving legal standards and operational practices. Users will be notified of any significant amendments in accordance with the WCD’s policy.

Children’s Privacy

WCD’s Services are not intended for minors, or individuals under the age of eighteen (18). If we learn that we have collected or received personal information from individuals under the age of eighteen (18), we will delete the personal information. Security of Your Information

We implement and maintain reasonable security procedures and practices to protect the personal information we collect from unauthorized access, destruction, use, modification, or disclosure. These security practices include encryption and access controls. However, no security measure or modality of data transmission over the Internet is 100% secure and we are unable to guarantee the absolute security of the personal information we have collected from you. 

Security is a team sport, and your responsibility is to ensure that you protect your passwords and log-in information. Some handy tips:

  • Use strong passwords made up of random words or text, a combination of lower- and upper-case characters, numbers and special characters. 
  • Use different passwords everywhere – don’t recycle! If you have trouble remembering, there are several password managers available.
  • Don’t re-use passwords – if one service or site is compromised, this can lead to bad guys getting access to everything.
